Terms and Conditions of Hire
Group, Event & Private Bookings
Booking Overview
Nomadika Glamping Co provides temporary glamping accommodation for group events, retreats, weddings, and private functions. These Terms and Conditions apply to all bookings made by an organiser on behalf of a group, whether costs are paid by the organiser, guests, or a combination of both.
By paying a deposit or confirming a booking, the Client acknowledges and agrees to these Terms and Conditions.
Definitions
Client / Organiser means the individual or entity responsible for securing the booking and liaising with Nomadika.
Guests means individuals occupying the glamping tents.
Deposit means the amount paid to secure a booking date and allocated inventory.
Bond means the refundable security amount held to cover damage, loss, or excessive cleaning.
Furnishings means all tents, bedding, furniture, décor, fittings, and accessories supplied by Nomadika.
Booking & Deposit
A booking is confirmed once a deposit has been paid and accepted by Nomadika. For group, retreat, wedding, or private event bookings, the deposit secures exclusive access to the selected date and the agreed number of tents and inclusions.
Deposit refund terms are as follows:
More than six months prior to the booking date: 100 percent refundable
More than three months prior to the booking date: 50 percent refundable
Less than three months prior to the booking date: non-refundable
Where an organiser elects to pass booking costs to guests, any deposit refund applies to the organiser only and does not override individual guest booking terms. Nomadika is not responsible for internal reimbursement arrangements between organisers and guests.
Minimum Booking Requirement
A minimum booking of five tents applies to group and event bookings. If confirmed bookings fall below this minimum, Nomadika will work with the Client to explore available options. If the minimum cannot be met, the booking may be cancelled in accordance with the deposit refund policy.
Payments
Final payment, including tent hire, transport fees, and bond, must be made by the invoice due date, generally no later than two weeks prior to the event. Nomadika reserves the right to cancel a booking if payment is not received after reasonable reminder notices. Deposits are retained where cancellation occurs due to non-payment.
Guest Bookings & Payment Management
Where applicable, Nomadika may create and manage a customised guest booking page. Nomadika may collect payments directly from guests, manage guest enquiries relating to glamping accommodation, and allocate tents based on confirmed bookings.
Guest bookings are subject to availability and the terms provided at the time of booking. Guest cancellations or changes do not affect the organiser’s obligations under this agreement.
Transport & Travel Fees
Transport is charged at $0.88 per kilometre multiplied by four, calculated from Dianella, Western Australia. Travel fees are charged in addition to tent hire and are non-refundable once services have commenced.
Bond
A refundable bond of $500 is payable prior to delivery. The bond will be refunded following pack-down and inspection, subject to no damage, loss, or excessive cleaning requirements. Nomadika reserves the right to deduct costs from the bond where required. Any additional costs exceeding the bond amount must be paid within seven days of notification.
Changes to Bookings
Bookings may be increased up to three days prior to the event, subject to availability. Reductions to confirmed tent numbers are not guaranteed and may not result in a refund.
Site Requirements & Client Responsibilities
The Client is responsible for ensuring the site is suitable for glamping setup, including flat ground, sufficient space, safe access, peg-friendly soil, clear pathways, and appropriate amenities. The Client is responsible for guest conduct, site cleanliness during the event, and ensuring guests treat all furnishings with reasonable care.
Damage, Loss & Cleaning
The Client is responsible for all hired furnishings from delivery until pack-down. Costs associated with damage, loss, theft, or excessive cleaning may be deducted from the bond. Normal wear and tear is excluded.
Weather & Safety
Nomadika monitors weather conditions using publicly available information. For safety reasons, setup, pack-down, or occupancy may be delayed, modified, or cancelled due to high winds, extreme temperatures, heavy rain, or other unsafe conditions. Weather conditions are unpredictable and cannot be guaranteed.
Nomadika is not responsible for weather-related discomfort, disruption, or cancellation beyond its reasonable control. The Client remains responsible for guest safety at all times.
Limitation of Liability
To the extent permitted by law, Nomadika is not liable for indirect or consequential loss, personal injury, or damage arising from the use of glamping equipment, except where caused by proven negligence. Guests occupy tents at their own risk.
Governing Law
These Terms and Conditions are governed by the laws of Western Australia.
